Registration

All registration, profile, and behavioural data is collected and managed by a contracted registration provider acting as an approved GDPR-compliant Data Processor on behalf of Association of Old Crows (AOC), the Data Controller.

Data is submitted securely via the internet to the registration provider’s dedicated, ring-fenced systems hosted within Microsoft Azure Cloud. Information is stored in secure, redundant locations, backed up appropriately, and access is strictly controlled, logged, and limited to approved and vetted AOC team members and the registration provider’s support staff.

For AOC Symposium & Conventions, additional image-based ID data is collected for security verification and vetting purposes. This data is stored in an encrypted, secure database format and retained only until verification is complete, and no later than ten (10) working days after the close of the event, unless required for further security-related purposes. Deletion is automated and supported by manual checks to ensure completion.

By submitting personal ID documentation, you confirm that appropriate consent has been obtained from the individual concerned. This information is used solely for identity verification and is securely deleted in line with the retention period outlined above.

Please note – registrations are not permitted from embargoed countries; all registrations will be reviewed and vetted for accurate information before the registrations are confirmed and accepted.
